Process automation

The tasks you repeat every day should do themselves.

04How it goes together in your business

And the repetitive work runs itself.

Confirmations, invoices and reminders go out without anyone writing them. You get on with your work.

You will see it written on the sign.

What Process automation includes

A real automation, not a promise

A customer writes. The rest happens by itself.

  1. 01

    A lead comes in

    Form, WhatsApp or call

  2. 02

    You are alerted instantly

Without waiting for someone to see it

  3. 03

    It logs itself

In your CRM or your usual spreadsheet

  4. 04

    It gets followed up

    Automatic reminder if nobody replies

Ritmo · Process automation

Is this your line?

A good fit if

  • You repeat the same manual task several times a week
  • You lose customers because nobody follows up in time

Maybe not yet if

  • Your process changes so much every week that there is nothing stable to automate

The problem

You copy orders, send the same reminders and put together the same report every week. Over a month that is whole days.

What you get

6 deliverables, no small print.

  1. 01Repeated tasks identified and ordered by the time they take from you
  2. 02Automatic notices and reminders to customers, by email or WhatsApp
  3. 03Your tools connected, so you stop copying data by hand
  4. 04A report that is generated and reaches you by itself, without you asking
  5. 05Immediate alert when something fails, so you don't find out late
  6. 06Documentation of what each automation does, in plain language without jargon

How we work

Four steps, then up and running.

  1. Inventory

    1 week

We note down everything you do by hand during a normal week and put minutes against each thing.

  2. The first one, the one that hurts most

    1 week

That task stops being done by hand

We start with the task that takes the most time, not the easiest one. That way you notice the change from the first month.

  3. Monitoring

    2 days

It warns you by itself if something fails

An automation that fails silently is worse than not having one. We set up alerts so you know straight away.

  4. Next batch

    continuo

With the first one running, we carry on down the list. One at a time, checking that each one holds up.

VALIARI / SELECTION

Jardineras Meraki

Recreation of the Planning screen of the Meraki app with a week under way: 142 of 189 pieces made, progress per planter, a warning that moulds are missing and an order ready to confirm with 8 pallets and the freight worked out, diesel and Low Emission Zone included.
Recreation of the old spreadsheet: a weekly plan in Excel with hand-coloured cells, repeated rows, #REF! errors and notes such as "DO NOT TOUCH" or "call haulier".

How we measured it

The owner of Jardineras Meraki's own estimate, comparing the hours it took him each week to work out spec sheets, costs and shipping by hand with the time it takes him now with the app. Measured in September 2026.

From calculation to control

Selected work
The brief

Every made-to-measure planter had its spec sheet and cost worked out by hand, and every order, the palletising and the transport rate separately.

  • Internal app that produces the spec sheet and the cost of each made-to-measure planter, all kept in one place
  • Automatic calculation of palletising and transport cost (fuel surcharge and Low Emission Zone included), ready before the order is confirmed

It is one of the first lines we recommend to estate agencies, restaurants, salons and construction.

Frequently asked questions

How much does it cost?

It depends on how many processes we automate and which tools you use. We pin it down after the inventory, which is free.

Is this going to replace someone on my team?

That is not what we are after. We automate the repetitive so your people spend that time looking after customers, which is what no system does.

What if it stops working one day?

You get an alert as soon as it happens, not when you find out yourself. Monitoring is included from the first automation.

Does it work if I use very old programs?

Often yes, although the route is different. We check in the inventory before promising you anything.

The other five lines

The next step

The tasks you repeat every day should do themselves.

Let's start there.

The first call is free and with no obligation. You tell us what you need and we tell you where we would start.

No middlemen. You talk to whoever does the work. Or write to us at contact@valiari.com.
